Group level meeting and recording settings

Zoom Meeting and Webinar platforms utilize three levels of account settings to enable and disable associated features and services. 

These settings affect Zoom platform scheduling, functionality, recording and security.  The below steps will allow Zoom Meeting USER Level account holders a better understanding of the Zoom platform setting hierarchy and best practices for enabling and disabling Zoom account settings for Zoom platform accounts.

Note:  Locking a setting at the account level means that the setting cannot be changed by any user.


Settings are tiered and are initially turned on/off or locked by campus Zoom account administrators to establish uniform Zoom platform functionality for all campus Zoom Meeting licensed account holders.  Tiered settings provide a hierarchical way to manage the settings that affect meetings and webinars. The settings can be controlled at the Account level, the Group level, and the User level so that events throughout the organization have enforced settings when required, while allowing meeting and webinar organizers the flexibility to customize other settings to meet event outcomes.

Steps

  • Your individual account meeting settings allow you to enable or disable features for your meetings.  These settings control the availability of many features, such as breakout rooms, recording, and chat.  Unless locked by account admin, settings may be changed by the individual licensed account holder prior to the start of individual meetings.  Once a meeting is started, meeting setting changes will not take effect.

Meeting settings control the availability of many features, such as breakout rooms, recording, and chat. Settings are tiered and can be turned on/off or locked by your admin.

  • Accessing and editing individual account meeting settings.
    • Click Settings.
    • Click to toggle a setting on or off.    
    • Sign in to the Zoom web portal.


  • Group level setting assignments allow settings to be turned on or off for a group of users.  This does not change the setting for the remainder of account users. 
  • Divisions, departments, or units may contact Distance Learning Services staff via the ITS STS Help Desk to request the establishment of a Zoom Meeting Group.  (E-Mail: ITServicedesk@unca.edu)

  • Accessing and editing Group Level account settings.
    • Sign in to the Zoom web portal.
    • In the navigation menu, click User Management then Group Management.
    • Click Edit next to the group you want to edit.
      This will open settings are under three tabs: Meetings, and Recording,
    • Click to toggle a setting on or off.
    • Click the lock icon to lock a setting. If you lock a setting, the group members will not be able to modify it individually.
    • Settings can also be locked at the account level. This will be noted next to the setting. If a setting is locked at the account level, you will need to change it under Account Settings.

    •  Locking the setting at the group level means that members of the group cannot change the setting.

The below Setting status indicators are representative for all UNC Asheville Zoom Meeting licensed accounts.

 Enabled and open, individual account holders may edit and or disable this setting as desired.

Enabled and locked, individual account holders cannot disable this setting.

 Disabled and open, individual account holders may edit and or enable this seeting as desired.

 Disabled and locked, by Zoom account or Group Administrators,  Group members and individual account holders cannot enable this setting.
