Administrative Policies and Procedures

Purpose

The use of Distance Learning Services managed video conference facilities and Zoom Communications platforms (Zoom Meeting & Zoom Webinar) comply with all Federal, State and University policies and procedures.  These policies are located here to ensure the possible highest user visibility and identify points of contact for further discussion or concerns.

Abusive Behavior (Reporting During and After Zoom Meetings)

 The Zoom Communication system takes abusive behavior on its platform seriously and wants to ensure meetings are secure.

  1. Reporting abusive behavior.  As part of Zoom's in-meeting security features to help keep meetings secure, the meeting host can report a participant during a meeting. The host is able to select which participants they would like to report, include any written details, and add attachments. This report is automatically sent to the Zoom Trust and Safety team to evaluate any misuse of the platform and block a user if necessary.
  2. The Zoom platform 'At Risk Meeting Notifier' scans public posts on social media sites and other public online resources for Zoom meeting links. When it finds publicly posted meeting information that indicates a given meeting may be at high risk of being disrupted, Campus Zoom account owners and admins (ITS Staff) are notified by email. 

FERPA Consent Procedure for Web-conference Recording Access

The Family Educational Rights and Privacy Act (FERPA)  is a Federal law that protects the privacy of student education records. UNC Asheville policies ensure compliance with associated Zoom platform recordings.

Health Information Portability and Accountability Act

In the course of providing services to healthcare customers the Zoom Platform enable HIPAA compliance to covered entities. Zoom is responsible for enforcing the administrative, technical and physical safeguards to prevent any unauthorized access to or disclosure of protected health information (PHI) in the Zoom environment. 

Zoom Video Communications, Inc. Terms of Service

UNC Asheville faculty, staff, students and affiliates who are provided access to Zoom Video Communications, inc. platforms and services shall comply with all aspects of Zoom Terms of Service.  This article provides a subset of these terms most applicable to the UNC Asheville education environment, however all associated Zoom Terms of Service conditions must be followed.
