# About Google Shared Drives

Google shared drives are shared spaces where teams can easily store, search, and access their files anywhere, from any device. Shared drives are ideal for departments, work groups and project teams. Files are owned by the team -- rather than the individual -- so even if someone leaves, the group can continue collaborating.

![shared-drives-example.png](https://kb.unca.edu/__attachments/a_7f683bd52c859f173eff0639baf4956237ddb24bf2397d7564554255933db49a/shared-drives-example.png?cb=e64ae46ab6dd4668a16f20101081a3e3)

Google shared drives are similar to campus Windows-hosted file shares (commonly referred to as your "S Drive") , but offer several key advantages.

1. Shared drive owners can self manage membership, adding and removing collaborators, and modifying permission levels, as necessary. You won't need to put in a ticket with ITS to change your shared drive members.

2. Shared drives are available globally, from any device, without the need to connect to our VPN.

3. Files stored in a shared drive are "owned" by the the shared drive itself, and remain shared to all members even if the file's original creator graduates or separates from the university.

## Requesting a Shared Drive

You can request a shared drive by submitting a ticket to the ITS Service Desk, letting us know your desired Shared Drive name.

Contact the ITS Service Desk by sending an email to [helpdesk@unca.edu](mailto:helpdesk@unca.edu) or calling 828-251-6445. The [IT Service Desk Self-Service Portal](https://servicedesk.unca.edu/) is also available 24 hours a day, 7 days a week. The Self-Service portal allows you to request assistance from ITS using a simple web form.

To maintain consistency and reduce confusion, your shared drive name will be prefixed with your department name, e.g. "ITS - Contracts."

## Learn more

Visit the [Google Workspace Learning Center for Shared Drives](https://support.google.com/a/users/answer/9310351?hl=en&ref_topic=9298590) for a complete guide on using Shared Drives.

# About Jamf Connect

Jamf Connect is a utility that keeps your university-provided Mac in sync with your UNC Asheville Security Account. It also adds shortcuts and other convenient features.
**Jamf Connect** replaces [NoMAD](https://uncakb.atlassian.net/wiki/display/KB/About+NoMAD), and is available only when you [upgrade to macOS Big Sur](https://kb.unca.edu/kb/about-macos-big-sur.md).

|-----------------------------------------------------------------------------------------------------------------------------------------------------------------------|-------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------|
| ![jamf-connect-icon.png](https://kb.unca.edu/__attachments/a_91263873597204dfe1499deefa057b76fdfdc5ebe4018cb3ec93dbadd719e761/jamf-connect-icon.png?cb=d327fcfe8deff6dc444e5458dfcb7ea8) | **Features** * Jamf Connect keeps your UNC Asheville Security Account password synchronized with your Mac. * When you change your UNC Asheville Security Account password, Jamf Connect will help you update your Mac's keychain and FileVault2 passwords. * Jamf Connect keeps your Mac connected to the UNC Asheville printer network so you don't have to authenticate each print job. * Reminds you when your password is about to expire. * Adds shortcuts to your Mac's menu bar to easily access the password change utility, Self Service, the ITS Knowledge Base, VPN and your ITS Service Desk tickets. |

## Why we use Jamf Connect

You must change your UNC Asheville Security Account password every 90 days. When you change your password using the Password Change Utility, your Mac is not automatically aware of your new password.

Jamf Connect bridges this gap by keeping your Mac connected to your UNC Asheville Security Account, and will detect when your password is changed. This helps you avoid Keychain prompts and other authentication frustrations.

## Installing Jamf Connect

ITS supports Jamf Connect on macOS Big Sur (version 11) and later. When you upgrade to macOS Big Sur, or receive a new computer, Jamf Connect will automatically be installed.

You cannot use Jamf Connect on macOS Catalina or previous; instead, upgrade your Mac to macOS Big Sur.

## Jamf Connect Login Window

Jamf Connect replaces the default macOS login window with a customized experience tailored to UNC Asheville.

![login-upn.png](https://kb.unca.edu/__attachments/a_6397eeda29a1aaab34c4a66d20ada90f4df31e54c8c5664bc0943ac8879769a3/login-upn.png?cb=c9a766480dd5dc58d59f405cee740deb)

### Log in with cloud authentication

Cloud authentication allows you to log in to your Mac from anywhere with an Internet connection using your most current credentials.

Enter your **full @unca.edu email address** and password to log in. You will be asked to verify your password a second time. This ensures that your Mac is synchronized with your UNC Asheville credentials.

![connect-login-flow.png](https://kb.unca.edu/__attachments/a_51ee12e090efdeef7a82fe226c4a50051747ba9c7d1fe3c2d416abdf179853e1/connect-login-flow.png?cb=0eaa0bce2e360810c3dffd0bf375f793)

If you've changed your UNC Asheville password recently, Jamf Connect will detect that your Mac password is out of sync. Follow the on-screen prompt to enter your ***previous*** password. This allows Jamf Connect to update your Mac password and resynchronize it with your UNC Asheville password to eliminate the discrepancy.

![login-verify-mismatch-cropped.png](https://kb.unca.edu/__attachments/a_b3201f2752b1e1659eccd777992a1179ec7261a7d2994fffc167b8fccc3353c3/login-verify-mismatch-cropped.png?cb=061bd7927534b106aed0ff799d0eab5e)

### Log in locally

You can skip cloud authentication and log in to your Mac directly. Local login does not require an Internet connection. This skips password verification and **will not allow you to resynchronize your password if you've recently changed it.** For this reason, ITS recommends using cloud authentication unless you experience an issue or do not have network connectivity.

Click **Local Login** near the bottom of the screen, then enter your **username** (*not your full email address*) and local Mac password.

![login-local-login.png](https://kb.unca.edu/__attachments/a_3907e91b9fa719ebaeb307ee1fe5319ad1c02242a7b473beb02a767b877e1538/login-local-login.png)
If you have changed your password but not yet resynchronized your Mac with your new password, Local Login will fail. ITS strongly encourages you to prefer the default cloud authentication, and use Local Login only if you do not have an active Internet connection.

### Connecting to a network at the login window

Logging in with cloud authentication requires you to be connected to a network. In most cases, your Mac will remember and connect to the most recent (in range) wireless network you used. You can also connect to different wireless networks by clicking the Wi-Fi icon near the top right of the screen.

![login-network-highlight.png](https://kb.unca.edu/__attachments/a_5232355ff72d1c8d2d6bd19023dd56ba5ad5b8c28898ae818532c4294ecc92ec/login-network-highlight.png?cb=04ba9477e1fd3abb848628e85ddfb042)

Click the network you wish to connect to. If the network requires authentication, you may enter the network password when prompted.

![login-network-connected-cropped.png](https://kb.unca.edu/__attachments/a_85ff3d1f04916f8451562b0ab809ba90e837618111ed9f92b20ceb41423e8068/login-network-connected-cropped.png?cb=ee7c471ede6192ff6a8cea15c0f77896) ![login-network-password-cropped.png](https://kb.unca.edu/__attachments/a_e1caa1b60b8bea9c736da64b1a34959762a2ef69b97b5f93ea1559d6107fca2e/login-network-password-cropped.png?cb=a5fa1f873f948189f02a0c1aa2166233)

## Using Jamf Connect

Jamf Connect runs in your menu bar in the upper right corner of your Mac screen.

![jamf-connect-notification-password-about-to-expire.png](https://kb.unca.edu/__attachments/a_6c9efe4fdda8b8d5390887a376239a0d8e16c1a15a7ec31b125e5f13d05ab869/jamf-connect-notification-password-about-to-expire.png?cb=130fd6801f4a408241bfe84c569ee5bb)

Click the Jamf Connect menu bar icon, then click **Update password** and follow the directions on your screen.

## Password Sync

Jamf Connect helps you keep your Mac's password in sync with your UNC Asheville Security Account. This avoids issues with your keychain, printers, and FileVault disk encryption when you change your password.

When you change your UNC Asheville password, Jamf Connect will detect the change within a few minutes and send you a notification.

![sync-prompt.png](https://kb.unca.edu/__attachments/a_cd15d6a420462a0ec08e7ace52f1fc31a73a07a7a53ee97fb05a114fdb8cfa81/sync-prompt.png?cb=ef95024bd98109a9ef99508de94c9b03)

# About macOS Big Sur

![big-sur.png](https://kb.unca.edu/__attachments/a_8baaee733cee4e843a29f3886319a6abdb787988f8f6833794ecc6313505161a/big-sur.png?cb=0979cf7bc8329fec928ae318c4779840)

macOS Big Sur (version 11) was released by Apple on November 12, 2020.

ITS supports macOS Big Sur as the preferred operating system for campus Mac computers.

ITS continues to support [macOS Catalina](https://uncakb.atlassian.net/wiki/display/KB/About+macOS+Catalina).

All previous operating systems (macOS 10.14 and below) are considered insecure and are not supported by ITS.

## Before you upgrade

1. You should always keep a backup of your important data, and it's even more critical before an operating system upgrade. Read [Back up your files with Google Drive on macOS](https://kb.unca.edu/kb/back-up-your-files-with-google-drive-on-macos.md) or [Back up your files with OneDrive on macOS](https://kb.unca.edu/kb/back-up-your-files-with-onedrive-on-macos.md) to learn how to back up your files to cloud storage.

2. Read [About Jamf Connect](https://kb.unca.edu/kb/about-jamf-connect.md) to understand how the login experience will change once you upgrade your Mac.

3. Read the list of **Known issues** with macOS Big Sur below.

4. Take a tour of [What's new in macOS Big Sur](https://help.apple.com/macos/big-sur/whats-new/#design).

## Switch from NoMAD to Jamf Connect

When you upgrade your university Mac to macOS Big Sur, [NoMAD](https://uncakb.atlassian.net/wiki/display/KB/About+NoMAD) is replaced by [Jamf Connect](https://kb.unca.edu/kb/about-jamf-connect.md).

Jamf Connect provides many improvements to using your Mac, including the ability to log in to your Mac after a password change while off campus, without connecting to VPN.

Jamf Connect also replaces the default macOS login window with a new branded look and functionality tailored to UNC Asheville.

![login-upn.png](https://kb.unca.edu/__attachments/a_ca4fe4988d12db8086dde1d629a753e72838870196cc3a7dc6cb36e990d62fb7/login-upn.png?cb=c9a766480dd5dc58d59f405cee740deb)

**Please read** [About Jamf Connect](https://kb.unca.edu/kb/about-jamf-connect.md)**to understand these important changes before you upgrade.**

## How to upgrade

macOS Big Sur is available in [Self Service](https://uncakb.atlassian.net/wiki/display/~bmwarren/About+Self+Service).

[Open Self Service](https://kb.unca.edu/kb/about-macos-big-sur.md), then click "Upgrade" below "Upgrade to macOS Big Sur" to begin.

![SS-UpgradeBigSur.png](https://kb.unca.edu/__attachments/a_c89d1badcc5a947131bc4a96947bef9e44f8d202fc3151bfed78eb981dc7be0d/SS-UpgradeBigSur.png?cb=af20cbdf5c8a6883b761e035c09dee85)

## Known issues

* **Google Drive File Stream** requires additional steps to function in macOS Big Sur. It uses a legacy kernel extension with limited support by Apple. Please read [Google Drive File Stream and macOS Big Sur](https://kb.unca.edu/help/google/drive/google-drive-file-stream-for-macos#GoogleDriveFileStreamformacOS-GoogleDriveFileStreamandmacOSBigSur) for more information.

* **Microsoft Office** version 16.44 and above is compatible with macOS Big Sur. Use [Microsoft AutoUpdate](https://kb.unca.edu/kb/using-microsoft-autoupdate-on-macos.md) to ensure you're running the latest version of Office.

* Kernel extensions have been deprecated and replaced with system extensions. Software using kernel extensions may no longer function appropriately without a new version of the software. Contact ITS if you are unsure if you use software that requires a kernel extension.

* **Adobe Creative Suite CS6** and below are no longer supported by Adobe, and are not supported by ITS. You will need to update to an Adobe CC subscription to use Adobe software.

* Big Sur does not support 32-bit applications.

ITS has tested common software and business processes with macOS Big Sur. However, ITS does not guarantee functionality as all use cases cannot be tested. If you experience a problem, please contact the ITS Service Desk.

# Accessibility Features & Settings

Zoom Video Communications attempts to make human connection easy for everyone, everywhere through the use of Zoom sustainably built accessible products. They test their products with assistive technologies and continually listen to customer feedback to build products that fit client needs. [(Click here for further information regarding accessibility at Zoom)](https://zoom.us/accessibility).

While Zoom Video Communication systems provide assistive technology solutions for UNC Asheville Zoom platform users (Zoom Meeting and Zoom Webinar), these solutions are not intended to replace purpose built ADA accommodation services or systems for any compliance needs. Zoom accessibility product features may be of benefit to many Zoom platform users without accommodation needs and are offered to the campus community to provide for more efficient and effective communication. Any UNC Asheville campus member with questions regarding their access to more advanced accommodation services should contact the Office of Academic Accessibility (Students) and [Human Resources](https://accessibility.unca.edu/campus-accessibility-directory/) (Non-student campus employees).

* [Accessible Large Participant Events](https://kb.unca.edu/kb/accessible-large-participant-events.md)
* [Cloud Recording Audio Transcription](https://kb.unca.edu/kb/cloud-recording-audio-transcription.md)
* [Live Transcription](https://kb.unca.edu/kb/live-transcription.md)

## Zoom Meeting \& Webinar Accessibility Features

### **Accessible Large Participant Events:**

*Zoom* *Meeting*individual licensed accounts can support 300 concurrent participants within a single meeting, all which have the capability of sharing audio, video and computer displays. For those events that require a larger participant limit, or that would not benefit from a collaborative web conference format, Zoom provides two specific add-on licenses to accommodate these needs. Specific accessibility services for these licenses are detailed. [Click here to review additional information regarding this Zoom Meeting feature](https://kb.unca.edu/help/zoom-video-communication/accessibility-features-settings/accessible-large-participant-events)

### Cloud Recordings Audio transcription:

Audio transcription automatically transcribes the audio of a meeting or webinar that you record to the cloud. After this transcript is processed, it appears as a separate VTT file in the list of recorded meetings. In addition, you have the option to display the transcript text within the video itself, similar to a closed caption display. [Click here to review additional information regarding this Zoom Meeting feature](https://kb.unca.edu/help/zoom-video-communication/accessibility-features-settings/cloud-recording-audio-transcription)

### Language Interpretation:

Zoom platform events have the ability to enable live language interpretation. Meeting hosts may designate up to 20 participants as interpreters on the web portal or during a Zoom session. Once the interpretation feature is started, attendees can select the audio channel containing the discrete translated audio in their language of choice. Participants may then mute the original event audio instead of hearing it in a lower volume with their chosen language.

Cloud recordings of interpretation sessions will only record the original audio of the meeting or webinar, *not* the translations. Local recordings of interpretation sessions will record any audio the person recording can hear, but not multiple audio channels. [Click here to review additional information regarding this Zoom Meeting feature](https://kb.unca.edu/help/zoom-video-communication/accessibility-features-settings/cloud-recording-audio-transcription)

### Live transcription:

Meeting hosts may turn on 'live' auto-transcription during a meeting. Live transcription will be generated automatically and appear overlaid on top of the program video signal. Participants can open a live transcript during a Zoom Meeting to follow along, scroll back, and read at their own pace, unlike closed captioning. In addition, the host may enable viewing of the full transcript in a separate pop-up window. [Click here to review additional information regarding this Zoom Meeting feature](https://kb.unca.edu/help/zoom-video-communication/accessibility-features-settings/live-transcription)

### Nonverbal feedback and Meeting reactions:

Meeting participants can place an icon in their video panel and beside their name in the participants panel to communicate with the [host](https://support.zoom.us/hc/en-us/articles/360040324512) and other participants without disrupting the flow of the meeting. For example, selecting the**Slow down** icon places the icon in your video panel and beside your name to indicate you would like the host or presenter to go slower.

All participants can see the icons that everyone else has chosen. In addition, the host sees a summary of how many participants are displaying each icon, and has the option to remove all nonverbal feedback.

By default, the meeting reactions have a yellow skin tone. On the Zoom desktop client, you can also set your skin tone. # Accessing a Delegated Email Account

Log out and in
If you were recently given delegate access to an account, but don't see it in your accounts list, please log out and back in to your email. This should allow the delegated account to populate.

If you've been provided with delegated access to a special purpose, shared-use, club, or other email account, here's how to access it.

Note: Inbox delegation provides access to an account's inbox. Other Google services like Drive, Calendar, Contacts, etc. must be managed separately via Google Shared Drives, data migration or other means. For help using those features and tools feel free to contact the ITS Service desk.

## Steps

1. Open Gmail in your web browser.

2. In the top right, click your profile photo or email address. This is known as the "Account Switcher."

   ![Screen Shot 2020-02-14 at 12.59.02 PM.png](https://kb.unca.edu/__attachments/a_0b53e8479e469361458803db394a17942e9701841bcaf58753ecf2788bf981a2/Screen%20Shot%202020-02-14%20at%2012.59.02%20PM.png?cb=34bafa35439a3bfbb396ec069f5fdb84)

3. Click the delegated account you want to use.

# Account Login using Zoom Desktop client

## Purpose

While meetings can be started and scheduled from the Zoom web portal, you can also schedule/start meetings directly from the Zoom application. It is also important to access the Zoom application to set certain in-app settings, including Virtual Background, Audio/Video settings, as well as other options. The Zoom Desktop Client and Mobile App have different features than the Zoom web portal and the Zoom web portal is primarily used for changing your meeting settings customizing your profile.

## Using the Zoom Desktop Client

All UNC Asheville community members should use the desktop client to sign into their Zoom Meeting licensed account via Single Sign On (SSO) at the beginning, and log out at the end of the day.

1. Find the **Finder** icon ![https://assets.zoom.us/images/en-us/desktop/mac/finder-icon-new.png](https://assets.zoom.us/images/en-us/desktop/mac/finder-icon-new.png) in your Dock.

2. Right-click on the icon, then click **New Finder Window**.

3. In the new window, click **Applications** . Find [zoom.us](http://zoom.us/) in your apps list and double click the icon to start the app.

**Note** : If Launchpad is on your dock, you can click that to access your applications list, and open **Zoom** from there.

### Log into desktop client

SSO is an authentication process that allows a user to log in with a single ID and password to any of several related, yet independent, software systems such as Banner and now Zoom Meeting.

# Adding Content to OnePort

Content on OnePort can be added by members of the UNCA Web Team. To request a new link or announcement, or request a change to an existing link or announcement, please use the [OnePort Content Request Form](https://docs.google.com/forms/d/e/1FAIpQLSdCajvHjWDcbWBMrZlj4UMdrVipAYXOQKaDbMm4lwq9aPIobQ/formResponse).

When you use that form, you'll be asked the following:

* **Who should see this content?** OnePort uses Active Directory groups to determine the visibility of links and other items in the system. Typically, we use Students, Faculty, and Staff. If you know of another more specific AD group you'd like to use (like Temporary Employees), please specify that as well. If you're unsure or you need to create a new group, let us know and we will help you get that set.

* **When should the content be posted/removed?** Links in the menu tend to be permanent, while announcements tend to only stay up for a limited amount of time. Such announcements require publishing and unpublishing dates.

* **Who has authorized the posting of this content?** Since everyone on campus uses OnePort, we require you get permission from someone at a director- or chair-level position to post to it. Please include that person's name, department, and email address.

* **Are there other assets (images, videos) that need to be included?** If you have other items, please provide the URL where we can find it. A good way to share images is to upload them to Google Drive and share them with [webmaster@unca.edu.](mailto:webmaster@unca.edu.)

* **How can we contact you to follow up?** Please include your email address and a phone number we can reach you in case we have any questions.

* **What should the content say?** For links, be sure to include the URL, link title, and OnePort menu category. For announcements, be sure to include the text of your announcement (with any formatting), as well as a title. We will do our best to present your content in a way that is accessible to all of our users.

# Administrative Policies and Procedures

## Purpose

The use of Distance Learning Services managed video conference facilities and Zoom Communications platforms (Zoom Meeting \& Zoom Webinar) comply with all Federal, State and University policies and procedures. These policies are located here to ensure the possible highest user visibility and identify points of contact for further discussion or concerns.

## Articles:

### [Abusive Behavior (Reporting During and After Zoom Meetings)](https://kb.unca.edu/help/distance-learning-services/administrative-policies-and-procedures/abusive-behavior-reporting-during-and-after-zoom-meeting)

The Zoom Communication system takes abusive behavior on its platform seriously and wants to ensure meetings are [secure](https://zoom.us/security).

1. **Reporting abusive behavior**. As part of Zoom's [in-meeting security features](https://support.zoom.us/hc/en-us/articles/360041848151) to help keep meetings secure, the meeting host can report a participant during a meeting. The host is able to select which participants they would like to report, include any written details, and add attachments. This report is automatically sent to the Zoom Trust and Safety team to evaluate any misuse of the platform and block a user if necessary.

2. The Zoom platform '**At Risk Meeting Notifier**' scans public posts on social media sites and other public online resources for Zoom meeting links. When it finds publicly posted meeting information that indicates a given meeting may be at high risk of being disrupted, Campus Zoom account owners and admins (ITS Staff) are notified by email.

### FERPA Consent Procedure for Web-conference Recording Access

The Family Educational Rights and Privacy Act (FERPA) is a Federal law that protects the privacy of student education records. UNC Asheville policies ensure compliance with associated Zoom platform recordings.

### [Health Information Portability and Accountability Act](https://support.zoom.us/hc/en-us/articles/207652183-HIPAA-Business-Associate-Agreement-BAA-)

In the course of providing services to healthcare customers the Zoom Platform enable HIPAA compliance to covered entities. Zoom is responsible for enforcing the administrative, technical and physical safeguards to prevent any unauthorized access to or disclosure of protected health information (PHI) in the Zoom environment.

In the system dialog in the second section select

2."Printer Features",

then under Feature Sets select

3."General 3"
In newer versions of macOS, the printer features are **not** organized by "feature sets" -- instead, all options are displayed in a scrollable window. No scrollbar is displayed but you may scroll your mouse over the option area to find the relevant settings.

NOTE: If smudging or poor print quality results it may be necessary to adjust paper thickness settings further to troubleshoot. Also, certain types of low weight paper (tracing paper, onion paper) may damage the Ricoh. Please contact ITS with your specific case if there is a concern.

# Allow ITS support to remotely view your screen

UNC Asheville ITS uses BeyondTrust Bomgar for remote support sessions, where ITS technicians can remotely view and interact with your computer.

To protect your privacy, macOS includes a number of protections to safeguard your information. You will need to grant *Remote Support Customer Client* permission to record your screen before ITS support staff can view it. ITS is unable to complete these steps on your behalf, and you must follow this process when you first connect with an ITS technician. ITS will be unable to see or interact with your computer until you complete these steps.
ITS staff can never see or interact with your computer screen without your explicit permission. You must manually follow these steps before the contents of your screen are visible.

## Steps

1. As advised by an ITS technician, start a remote support session.

2. When prompted to allow *Remote Support Customer Client* to record your screen, click **Open System Preferences** .

# Allowing pop-ups in macOS Web Browsers

Pop-up windows are commonly used to present ads or potentially fraudulent information. In most cases, pop-ups should be avoided. Unless you're confident in a pop-up window's legitimacy, you should avoid interacting with webpages that open in new windows or seem to take over your screen.

Safari, Google Chrome and Firefox are configured to block pop-up windows by default.

Some campus services -- like Banner -- use pop-up windows to present auxiliary information. Follow these steps to allow sites to display pop-up windows.

## Allow Pop-ups in Google Chrome

Google Chrome allows you to allow pop-ups only on specific websites, and provides several facilities for selectively allowing pop-ups.

### Automatically allowed pop-ups

ITS has configured some sites, like Banner 9, to automatically allow pop-up windows.

### Allow a blocked pop-up to open

When a pop-up is blocked, the address bar will be marked Pop-up blocked ![Pop-up blocked](https://lh3.googleusercontent.com/T2mnGaZah8egb7d_UAORpvhHBBRsTHn-O-0D2abQRD5CnbIzWqWrQXqz1ZAAXWRkEA=h18) .

# Annotation

## The annotation function is an interactive tool used to enhance understanding through demonstration and clarification of questions.

Annotation use may enhance understanding through demonstration and clarification of questions occurring during presentations, small group setting and one-on-one meetings. Participants may also annotate white boards to clarify questions and or answers both in the regular meeting space, as well as within breakout rooms.

## **Activating the Annotation function**

Presenters should pre-determine those points at which they will use annotation and announce, and encourage, participants to utilize the function. Stating the intentions for the annotation activity will assist participants in best use. The Zoom Meeting annotation feature is available to meeting participants once the meeting is started. Random use of the annotation function that is not connected to current content can disrupt conversations and learning opportunities for all participants.

# Azure Multi-Factor Authentication (MFA)

In an effort to keep your data safe and protect your identity, ITS has implemented Multi-Factor Authentication (MFA) into our login process. Azure MFA is mandatory for all Faculty, Staff, and Students. This includes access to many UNCA systems, including the University information portal - oneport.unca.edu! You will utilize one of several authentication methods each time you login to a UNCA system.

## Enrolling in MFA is quick and easy.

**Visit** [Our Guide](https://kb.unca.edu/kb/adding-and-managing-mfa-authentication-methods.md)**for step by step instructions.**
![image2024-9-10_14-55-38.png](https://kb.unca.edu/__attachments/a_9afd7c2660919b82cc3b80aeba314ba3e898575e77095a53988b305e46dc8550/image2024-9-10_14-55-38.png?cb=9e034add35c6cc3a933502c5705c6e88)
UNC Asheville MFA sign-in screen

### **What is Azure MFA?**

Multi-Factor Authentication provides additional security to your account by verifying your identity using a second factor.

**Common Factors include:**

* A prompt sent to a secondary device such as a phone or tablet (**MOST COMMON**)

* A code sent to a trusted device (cell/office phone)

* A code generated by a trusted device, app, or browser extension. (Authy, Authenticator.cc)

* An enrolled hardware token (i.e. Yubikey)

This additional login step will ensure that your account is secure even if your password is compromised.

#### **How does Azure MFA work?**

<https://www.youtube.com/watch?v=Q8OzabuNwHI>

*** ** * ** ***

## **Why do we need MFA?**

Without MFA, anyone who gets a hold of your password can access your data and make changes to your UNCA account. In a world where password databases are hacked and leaked with increasing regularity, your password alone is not enough to keep your account secure.

With MFA, we can be sure that even if someone hacks your password, they cannot access your account.

## **What devices can I use?**

You can download Microsoft's MFA app "Microsoft Authenticator" on any phone or tablet. Once installed, you will use this app each time you are prompted by a login to a UNCA system.

**For Android download click** [**HERE**](https://play.google.com/store/apps/details?id=com.azure.authenticator&hl=en_US&gl=US&pli=1)

**For IOS download click** [**HERE**](https://apps.apple.com/us/app/microsoft-authenticator/id983156458)

++**Do not pay for any authenticator app**++! The official Microsoft Authenticator will never prompt for money.

# Back up your files with Google Drive on macOS

Learn how to back up your important files prior to your Computer Refresh appointment.

ITS always recommends creating a backup to avoid data loss. **Each employee is ultimately responsible for their own data.** Proactively backing up data to a cloud storage location provides an additional safety net.
Note
After copying your data to a cloud storage location, it's important to be aware of which copy of a file you're using. # Back up your files with Google Drive on Windows

Learn how to back up your important files prior to your Computer Refresh appointment.

Windows Sync Center helps to keep your files synchronized with the campus Windows network, but ITS always recommends creating a backup to avoid data loss. **Each employee is ultimately responsible for their own data.** Proactively backing up data to a cloud storage location provides an additional safety net.
Note
After copying your data to a cloud storage location, it's important to be aware of which copy of a file you're using. Files copied to Google Drive will not automatically sync with changes made to a local copy of the same file. You may find it most convenient to work only on your files stored in Google Drive, which are accessible from any device with an Internet connection.

1. If you don't already have Google Drive installed, use [Software Center](https://kb.unca.edu/kb/installing-software-and-updates-via-software-cente.md) to install [Google Drive](https://kb.unca.edu/kb/google-drive-file-stream-for-windows.md).

2. Open the **Google Drive** app and sign in.
